company William Pears to improve its operational efficiency
and save costs across the organisation.

NAME: Tim Emmanuel.
BACKGROUND: Tim has been working
in IT for over 20 years and has been an independent
IT systems consultant for various property companies
and funds since 2005.
Prior to going alone, he was the
IT manager at the William Pears Group for over six years,
when he was responsible for IT operations, implementation
of systems as well as all aspects of training IT staff
and end users.
He implemented the Qube property
management system and the corporate email and intranet
infrastructure. He also project managed the implementation
of an MRI system for the Pears Global Fund.
Recently he assisted the group in
evaluating and identifying a document management system
and also project managed the initial implementation.
Tim is currently working on a number
of implementation projects for various clients. He has
recently implemented and trained staff at Urbanlime
Group on the Qube property management system for their
business units in London and South Africa.
He has extensive knowledge and experience
in property/document management systems and is available
for system consultancy and implementation project management.

Q: WHAT WERE YOUR REASONS FOR LOOKING FOR
A DOCUMENT MANAGEMENT SYSTEM?
A: As a property trading and investment company, we have
been dealing in residential and commercial properties, primarily
within the M25, since the 1950s. In this time we have built
up a substantial paper-based file system for over 8,000 properties.
In addition, we have to maintain property and tenant files
related to compliance documents.
Since the late 90s, our stocks and shares trading arm has
also been very active and needed a system to manage their
increasing document workload. Overall the company has seen
dramatic growth over the last 10 years and has grown from
one to five offices for different divisions.
During this expansion, we had to cope with a traditional
paper-based filing system, which required four dedicated staff
to manage it for our residential property department alone.
This gave us a number of problems – files could only be used
by one person at a time and would move from desk to desk and
this presented a problem in locating them at any given time.
A number of years ago, the company had invested in an early
document management system but it had never been implemented
and had just sat in a corner gathering dust.
However, when our new group finance director Gerard Cohen
joined the group in early 2005, he was very much in favour
of using IT to make our business more efficient. He had a
vision of creating a ‘paperless office’ and commissioned an
independent consultant to review our requirements – and following
this we decided to look for a suitable document management
solution.
