The Subject: Installing document management software has allowed manufacturer H+H to eliminate thousands of documents, free up storage space and cut costs whilst improving operational efficiency.

NAME: Brian Collins.

BACKGROUND: Brian has been working in IT for over 20 years and has been IT manager at H+H UK for the past six years. He is responsible for all aspects of IT and telecoms across the company’s four UK manufacturing and distribution sites.

He manages a small team that develops and supports an inhouse sales and transport system, as well as a number of packaged solutions, for over 150 local, remote and mobile users.

Along with the Version One document management solution, Brian and his team have introduced new systems for email, HR & payroll, customer relationship management, business intelligence reporting, call centre integration, and mobile workforce communication.

Improvements in the supply chain have been made by bringing hauliers and remote depots onto the company’s virtual private network, allowing them to manage the distribution of finished goods.

The future focus is on building on the work already done in areas such as document management, workflow and electronic data interchange, to further streamline the company’s business processes.

Before joining H+H UK, Brian was IT manager at The Royal College of Surgeons of England, based in London, where he was responsible for installing one of the first gigabit networks in the UK.

Q: WHAT WERE YOUR REASONS FOR BUYING A DOCUMENT MANAGEMENT SOLUTION?

A: We were a very paper-based company with piles of documents stored everywhere that had been photocopied or printed. Historic documents were archived to microfiche, which was a time-consuming, costly and archaic process.

There was a general understanding that we could do things better but while it was on the list of things to do, it had never quite made it to the top.

The catalyst for change was when our old microfiche system finally gave up the ghost and the financial director said we had to find a better solution for document handling.
