The Subject: Specialist IT services provider DiData has rejected workflow software, instead using document management and business process management (BPM) systems to streamline its internal operations.

NAME: Wayne Swift.

BACKGROUND: Wayne is a senior business application analyst with experience in managing, administering and developing business systems.

He has worked for Dimension Data Network Services UK for the last seven years and has primarily managed the day-today operation of its ERP system.

Along with the administration and development of the ERP system, Wayne has managed the implementation of an electronic document management system, deployed a BPM solution and built and delivered a working B2B purchasing system with DiData’s number one partner Cisco.

He is currently managing a team that is delivering a business intelligence/reporting solution to the UK offices and eventually to Dimension Data’s sites across Europe.

Wayne’s team is also responsible for the administration and development of a bespoke (inhouse-created) web-based workflow solution for company expenses capture and time sheeting against customer contracts and projects.

He previously worked for Ciba Speciality Chemicals, a chemical company based in West Yorkshire, where he was seconded from the business to work on a major SAP and eventually BPCS implementation.

Wayne’s specialist areas, in the ERP implementation for Ciba Speciality Chemicals were in materials management, inventory management and purchasing.

Q: WHAT WERE YOUR BUSINESS REASONS FOR ADOPTING A DOCUMENT MANAGEMENT SYSTEM?

A: The final impetus was our office relocation from Sunbury to Fleet. We had a building full of files of paper documentation consisting of invoices, VAT receipts, suppliers’ invoices, shipping documentation et al which we have a legal obligation to keep for at least seven years.

We did not want to move all this history in its paper form to the new offices and we also needed to provide a much more effective retrieval mechanism for both historic and new documents.

As time was of the essence, we asked one of our current suppliers, The Content Group, to recommend suitable document management solutions we could evaluate. In the end we selected a solution from INVU which met both our requirements and budget.

Over 10 million documents were scanned in and indexed. The software had OCR capability so a document could be indexed on every single word that could be read by OCR.

The system has been highly successful and is used by over 100 users in the UK and we will be demonstrating it to our parent company for adoption throughout the group.
