BACKGROUND: Tony is the Solutions
Consultant for DHL Freight, working within IT. He is
responsible for the support and development of the company’s
financial systems, fleet system and other bespoke software
developed by DHL’s inhouse IT team
He is also responsible for the design
and implementation of the document management and workflow
systems used within the operational and financial activities.
Tony’s previous roles during 19 years with the company
include IT general manager, divisional accountant and
operations manager.
He has also worked as financial controller
for a large South African hotel company and as group
administration manager for a division of the Rank Organisation.

Q: WHAT FIRST LED YOU TO ADOPT SCANNING
AND WORKFLOW TECHNOLOGY?
A: A few years ago, we were experiencing real difficulty
in managing our proof of delivery documentation effectively.
We have around 2,000 HGVs and delivery drivers, working out
of 87 depots and processing around 30,000 proof of delivery
documents every week.
At the time, the process of filing PODs was entirely manual
and highly labourintensive. Often deliveries are done by subcontractors.
We would find that PODs were not in the right place, they
were misfiled or lost. If a customer asked us to produce the
original documentation, we could spend hours searching for
it, sometimes fruitlessly.
The repercussions were that, on occasions, we didn’t get
paid or had to make an insurance claim. So the business came
to us [the central IT department] with a request to find a
solution.
