Linklaters is a global commercial law firm with around 6,000 employees in 35 offices across 23 countries, and 16 different practice areas.

It provides advice to major companies and financial institutions on all areas of commercial law. Linklaters was also the first law firm to offer traditional legal services over the internet under its Blue Flag initiative. Its online services now range from advice and counselling to producing legal documentation and managing legal transactions.

Linklaters uses the Documentum 4.1.5 software on the Solaris operating system and Sybase database running on Sun Systems servers. This system is used to manage content for the entire enterprise, storing all content involved in all the firm’s legal transactions worldwide, as well as standard office documents, in one centralised multi-language repository.

Linklaters has one of the largest content databases in the world, handling around 1.5 million compound documents a year. The firm currently has around 5.5 million individual documents or versions stored in the system, and is checking in around 9,000-10,000 new documents or versions a day.

The system has around 6,000 internal and 1,000 client users. The users’ desktop is a bespoke 32-bit application with a Windows Explorer look and feel (developed before Documentum announced 4i) with some web service functionality available. The entire desktop is deployed via Terminal Services and Citrix run from five data centres in London, Colchester, New York, Munich and Hong Kong.

Linklaters has about 240 IT staff, including a core document support team of three, and a core Documentum development team of around 4-6 members.

Q: WHAT HAVE BEEN THE BUSINESS BENEFITS OF THE NEW SYSTEM?

A: One clear benefit is that it is a risk management tool. It enables us to undertake version control of all documents to make sure that people are only editing the latest version of any particular document.

The other key benefit of the product is that is has allowed us to automate a lot of lower-value work which frees up fee earners to concentrate on more valuable work.
